**BUSINESS OFFICE COVID-19 PREPAREDNESS PLAN**

MCAD BUSINESS OFFICE COVID19 PREPAREDNESS PLAN

 

The MCAD Business Office has developed the following measures to keep employees and students safe as the College reopens Fall 2020. The Business Office COVID19 Preparedness Plan follows and operates under the institution-wide MCAD COVID19 Preparedness Plan established by senior management and the Emergency Management Team, as well as, guidelines and requirements for non-profit businesses as specified by the MN Governor's Office/Executive Orders and the MN Department of Health. 

 

Student Accounts: Student Accounts will be available remotely Monday through Friday 9AM-5PM. Student account questions and concerns can be emailed to student_accounts@mcad.edu or contact Miguel Granger or Allie DeLeo directly via google chat, google meet or email. If an in person meeting is desired, an appointment will be required during posted window hours of Monday-Thursday, 10am-2pm..

 

Mailroom: The Mailroom will continue to operate Monday-Friday, 9am-5pm. Staff will be available to assist Monday-Friday, 10am-2pm. The following mailroom services will be available under the following constraints:

  1. The Mailroom will have a maximum capacity of 2 people at any given time to maintain 6’ physical distancing requirements. 

  2. All departmental outgoing packages will require the proper request form (found on the Mailroom Intranet page) and should be dropped off with the clerk during staffed hours.

  3. All personal outgoing mailings will require an appointment via mailroom@mcad.edu.

  4. The mail room will no longer deliver packages to offices. Departments will be notified via email when there is a parcel ready for pick up.

  5. Email any questions to mailroom@mcad.edu.

 

Business Office: The following services will be offered under the following constraints:

 

Open Window hours: In person staff availability varies daily to maintain de-densification requirements. An appointment will be required for an in person meeting which can be scheduled by emailing emailing business_office@mcad.edu. The Business Office drop box, located to the right of the window, can be used for dropping off documents and will be checked consistently by staff.  

 

Business Office General: All Business Office staff are working and available remotely Monday-Friday 9AM-5PM via google chat, google meet, and/or email. See the Business Office Intranet page for staff contact information. All questions regarding budget, deposits, management reports, insurance, etc can be emailed to business_office@mcad.edu or contact staff individually via email, google chat, google meet, or phone.

 

Accounts Payable: AP check requests and invoices can be submitted via email to accounts_payable@mcad.edu or in person. The weekly deadline is Friday at 5PM. In person/paper invoices should be placed in the Business Office drop box. Checks will be cut and mailed on Wednesday. Check pick up will ONLY be permitted for departments and those checks will be placed in the Mailroom department mailboxes. 

 

Deposits: Deposits from departments should be securely enclosed within a sealed envelope, clearly marked with the department name and placed in the Business Office drop box. A MCAD Deposit Form (found on the Business Office Intranet page) should be completed and also included in the envelope. 

 

Petty Cash/Change Requests: Due to the recent increase in COVID cases and the national coin shortage, we will no longer be disbursing petty cash reimbursements at the Business office window. All reimbursements will be handled through Accounts Payable checks to be mailed to the address provided on the documentation.  *Rolled Coins: Please note that due to the national coin shortage, rolled coins are no longer available for exchange at the window. We apologize for this inconvenience. If the situation changes, we will notify the community. 

 

Notary: Notary services will be available by appointment only. Please email business_office@mcad.edu to request notary services. A notary will respond within 24 hours to schedule a time and date.

 

Appointments:In-person appointments with Business Office staff can be requested by emailing business_office@mcad.edu. Please be sure to include the day you would like to come in as well as the purpose of your visit so that your request can be routed accordingly.
